How we collect and hold it

We collect most information directly from you: through our website forms, by email, by phone, in person and on application forms. We may also collect it from third parties: schools and careers advisers, registered training organisations (RTOs), the Queensland Department of Trade, Employment and Training (DTET), Apprentice Connect Australia Providers, referees and host employers. Where we collect it from someone else, we'll take reasonable steps to let you know.

We hold information electronically in our email, payroll and business systems and in limited paper records. We protect it with access controls, multi-factor authentication on our business systems, encryption, staff privacy training, locked storage for paper records, and regular reviews of who can access what. We keep employee records for at least 7 years, as the Fair Work Act 2009 requires. We keep tax and superannuation records for 5 years, and records of notifiable workplace incidents for at least 5 years. We keep applications from people we don't employ for 12 months, unless you ask us to keep yours on file for longer. We destroy or de-identify other information once we no longer need it.

Our website doesn't use analytics or non-essential cookies.

Why we collect it, and how we use and disclose it

  • To respond to enquiries and discuss hosting, apprenticeship / traineeship or schools opportunities
  • To recruit apprentices / trainees and match them with host employers
  • To employ apprentices / trainees: payroll, super, tax, leave, and WorkCover
  • To register and manage training contracts, and to arrange and monitor training
  • To meet government reporting requirements and support incentive claims
  • To manage work health and safety
  • To comply with the law, including labour hire licensing and group training standards
  • For marketing, only if you've opted in (see Marketing below)

Who we may disclose it to

  • prospective and current host employers (candidate details are shared only with your consent)
  • RTOs and trade schools
  • DTET (training contract registration)
  • the Department of Employment and Workplace Relations (DEWR) and Apprentice Connect Australia Providers (for incentives)
  • the Australian Taxation Office (ATO), super funds, and WorkCover Queensland
  • the Labour Hire Licensing Compliance Unit, and auditors of group training standards
  • our service providers (hosting, email, payroll), under confidentiality obligations
  • anyone else the law requires or allows

We don't sell your personal information.

Tax file numbers

We collect TFNs only from people we employ, and only for tax and super purposes. We handle TFNs under the Privacy (Tax File Number) Rule 2015. We store them securely, restrict access to staff who need them, and don't use or disclose them for any other purpose.

Young people

Many of the people we work with are under 18. A parent or guardian can contact our privacy officer on their child's behalf. We assess whether a young person can make their own privacy decisions. Where they can't (for example, for some school-based apprenticeships / traineeships), we'll seek a parent or guardian's consent.

Marketing

We'll only send marketing emails if you tick the opt-in box or otherwise agree. Every email identifies us and includes an unsubscribe link, and we action unsubscribe requests within 5 business days, as the Spam Act 2003 requires. Sending us an enquiry doesn't add you to a marketing list.

Storing information overseas

Some of our service providers store information outside Australia. The countries we're likely to disclose information to are:

  • United States: Netlify, Inc. hosts our website and stores enquiry form submissions

Before we disclose information overseas, we take reasonable steps under APP 8 to make sure the recipient handles it in line with the APPs, for example through its security and contract terms. We delete form submissions from Netlify once we've moved them into our own systems.

Automated decisions

We don't use computer programs to make decisions that significantly affect you.

Accessing and correcting your information

You can ask to see, or correct, the personal information we hold about you by contacting our privacy officer. Asking is free. If giving you access involves significant cost, we may charge a reasonable fee, and we'll tell you first. We'll respond within a reasonable time, usually 30 days. If we refuse a request, for example where giving access would unreasonably affect someone else's privacy, or where the law allows us to refuse, we'll tell you why in writing, and how to complain.

Complaints

If you think we've mishandled your personal information, contact our privacy officer in writing (details below). We will:

  1. acknowledge your complaint within 5 business days
  2. look into it, and respond in writing within 30 days
  3. tell you the outcome and what we'll do

If you're not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
